This policy explains what personal information SEBCO Travels ("we", "us") collects when you use our website or book a journey, how we use it, who we share it with, how long we keep it, and the rights you have under the UK General Data Protection Regulation and the Data Protection Act 2018. We are the data controller for the personal information you give us.
1. What we collect
When you request a booking we collect your name, email address, mobile number, the pick-up and drop-off addresses you enter and their map locations, the date and time you want to travel, the number of passengers, luggage and child seats, a flight number if you give one, a company or account name if you give one, and any notes you type. If you call or message us we keep a record of that conversation for safety and service quality. We do not knowingly collect information from anyone under 16.
2. How we use it
We use your information to quote and provide the private hire journey you have booked, to send you a booking confirmation, to contact you about your booking by email, SMS, WhatsApp or phone, to raise and send invoices to account customers, and to meet our legal obligations as a licensed private hire operator. We process your information because it is necessary to perform the contract with you (the journey), to comply with our legal obligations as a licensed private hire business (record keeping), and for our legitimate interests in running the service safely. We do not make automated decisions about you. We never sell your information and we do not send marketing.
3. Who we share it with
We share the minimum needed to run the service. Our mapping provider, Google (Google Maps Platform), receives the addresses you type and the coordinates of your pick-up and drop-off so we can suggest addresses, draw the route and measure the driving distance. These requests go through our own server; your browser does not contact Google directly. Google is based in the United States and the transfer is covered by the UK Addendum to Google's standard contractual clauses. Our website and booking function are hosted by Vercel, based in the United States; the transfer is covered by the UK Addendum to Vercel's standard contractual clauses. Our transactional email provider, Brevo, sends your booking confirmation on our behalf. If you contact us on WhatsApp, WhatsApp (Meta) processes those messages under its own privacy policy. The driver sees your name, phone number, addresses, flight number and notes for the journey in front of him. If card payment is offered through the website in future, the payment processor will receive your card details directly and we will never see your full card number; this policy will be updated first.
4. Cookies and analytics
This website sets no cookies and stores nothing in your browser. Our booking form and map requests go through our own server. There are no advertising trackers. If we add privacy-preserving, cookieless analytics in future we will say so here.
5. How long we keep your data
Booking and invoice records are kept for as long as HMRC requires for business records, which is normally six years after the end of the tax year they relate to. Enquiries that do not become bookings, records of calls, and message history are deleted twelve months after the last contact. You can ask us to delete your data earlier, subject to those legal retention rules.
6. How we protect your data
The website and booking system use encrypted connections. A booking request is delivered by email to the owner and kept in that mailbox and in our booking records, which only the owner can access. The driver sees only the details for the journey in front of him.
7. Your rights
You have the right to ask what we hold about you, to have it corrected, to have it deleted (subject to the retention rules in section 5), to restrict or object to our processing it, to withdraw consent where we rely on it, and to receive a portable copy. You can complain to the Information Commissioner's Office at ico.org.uk. To exercise any of these rights, email enquiries@sebcotravels.co.uk and we will respond within one month.
